Contractor Information - Invoicing Guidelines

TalentHawk operates a monthly payment cycle based on the calendar month. So, timesheets and invoices will cover from the 1st to the 30th/31st. Payments will be made by BACS starting three business days after the end of the month. Invoices and timesheets will need to be submitted by 1pm on the 2nd business day to be processed in the first payment run on the 3rd. There will be subsequent payment runs (every Tuesday and Friday) so invoices received after the first cut off will be processed on the next available run.

Contractor Information - Pre-contract information

Prior to commencing an engagement through TalentHawk a contractor/interim must forward the following information. We need to understand whether the contractor is providing their services through a limited, or umbrella company. The contractor must then ensure we are sent a certificate of incorporation, a VAT certificate, a copy of their passport and information relating to their VISAs to determine their right to work in the UK. A copy of a bank statement to ensure funds are being sent to a UK onshore bank account and copies of their insurance certificates. .

Terms of Business - Contractor Charge Rates

We are often asked for information regarding the cost of hiring contractors. At TalentHawk we calculate contractors' charges by apply a 20% margin to the market rate for that skill and category of IT executive. Invoices for contractors are sent out at the end of the month and payment terms are 30 days. Terms of Business - Executive Search Terms

Executive Search Fee – 35% A retainer fee of 11% of the Candidate’s estimated first year’s guaranteed remuneration will be charged upon TALENTHAWK’s acceptance of the assignment. The Client will be charged a shortlist fee of 12% on presentation of the Candidates accepted for interview by the Client. Should TALENTHAWK not receive feedback (positive or negative) within two weeks (10 working days) of introduction then a shortlist fee will automatically be invoiced. The Client will be charged a final fee of 12% on agreement of an employment relationship or future employment relationship (in the case of a Letter of Intent) with the Candidate. The Client is obliged to provide TALENTHAWK with a copy of the Employment Contract and/or Letter of Intent within 5 working days of its agreement. Should TALENTHAWK not receive this in the allotted time, TALENTHAWK reserves the right to charge a penalty in the form of 1% of the total minimum project value per day until the document is received. The retainer fee, shortlist fee and expenses are payable whether or not a Candidate is engaged. The completed placement fee (Final) will be charged at 35% of the Candidate’s agreed first year’s guaranteed remuneration, as set out above, less the retainer and shortlist fees, and is payable within 14 days of invoice date.

Terms of Business - Permanent Placement Fees

At TalentHawk permanent placement fees are calcuated as a percentage of the annual salary package. For example we charge: 20% for Salaries below £50,000; 25% for Salaries from £50,000 to £100,000; 30% for Salaries of £100,000 and above. VAT will be added to all invoices at the rate applicable at the date of the invoice. Fees are calculated as a percentage of the annual salary and taxable emoluments.

Terms of Business - Permanent Placement Rebate Scheme

In the event that an Applicant terminates his/her employment with or otherwise ceases to work on behalf of the Client, and provided that the rebate terms have been met, then TalentHawk offers the following rebate scheme: i. Service up to 4 weeks – 75% ii. Service up to 8 weeks – 50% iii. Service up to 10 weeks – 25% iv. Service up to 12 weeks – 10% A refund in accordance with the above figures shall only be due where a) a replacement applicant cannot be found by TalentHawk within 12 weeks of formal notification of the Termination, or b) a replacement applicant has been found within 12 weeks of formal notification of the Termination, in which case the refund shall be applied to the Introduction Fee due in respect of the replacement applicant and the Introduction Fee due in respect of the original Applicant shall remain payable in full. No refund shall be made in the event that the Client does not replace the Applicant.
